Privacy Policy

How Partnerd processes personal data — in short, in plain language, in line with the GDPR.

1. Who we are

This policy explains how PARTNERD RECRUITMENT SERVICES S.R.L. (“Partnerd”), a company registered in Romania, processes personal data in connection with the Partnerd Hire platform, available at partnerd.ro and ats.partnerd.ro, and the Introvid video-interview module, available at introvid.ro.

2. What data we process

For platform users (recruiters, employers and their teams): name, email address, authentication data and actions performed in the platform.

For candidates: CV and application data (name, contact details, work experience, education), answers given in the application form, messages exchanged with the employer, interview scheduling and notes related to the recruitment process, and, where the employer uses video interviews, the recorded answers and their transcript.

For candidate data, the employer using the platform is the data controller, and Partnerd acts as a data processor, strictly under the employer's instructions. For candidates applying to Partnerd's own recruitment agency, Partnerd is the controller.

3. Purposes of processing

We use data exclusively to: provide the recruitment platform, manage applications and selection processes, support recruiters with AI-assisted tools (section 4), enable communication between employers and candidates (email, WhatsApp), handle billing and keep the service secure.

We do not sell personal data and we do not use it for advertising.

4. How we use artificial intelligence

Partnerd Hire uses AI models provided by OpenAI to support recruiters: to structure the content of a CV, to compute an advisory match score between an application and the requirements of the job, to draft job descriptions and messages, to search the candidate database, and to run Nerdy, the assistant available to recruiters and to candidates while they apply.

The AI never takes a decision about you. No application is rejected, advanced or ranked automatically. The match score is a suggestion shown to the recruiter together with the evidence it is based on, and every hiring decision is taken by a person, who can disregard the score at any time.

The scoring model does not receive fields such as age, graduation year, native language, home address or salary, and is instructed to ignore protected characteristics (gender, nationality, ethnicity, religion, disability, family situation, political or union membership). Sensitive information detected in the text of a CV is masked before it is displayed and is excluded from the evaluation.

Every AI result is recorded in a decision log (what was asked, what was answered, which model version was used) together with the recruiter's subsequent decision. You may request at any time an explanation of how the AI was used on your application and a copy of the log entries concerning you, at hello@partnerd.ro or through the employer's data-rights page.

Because these tools assist decisions about employment, Partnerd Hire is designed and documented as a high-risk AI system under the EU Artificial Intelligence Act (Regulation (EU) 2024/1689).

5. Video interviews (Introvid)

Some employers use Introvid, our asynchronous video-interview module operated by the same company, to collect recorded answers to a set of questions. Before any recording starts you are informed on screen and asked for your consent; you can decline and ask the employer for an alternative.

The recording is transcribed to text (using Groq, Whisper model) and the transcript is analysed by an AI model (OpenAI) strictly for the content of your answers: relevance to the requirements, skills mentioned, structure and clarity. No facial, voice, emotion or biometric analysis is performed, and accent or grammar are not assessed. The result is an advisory score for the recruiter, who watches the interview and takes the decision.

Recordings are hosted in the European Union and kept only for the employer's recruitment process and its retention period. You can request the deletion of your recordings at any time at hello@partnerd.ro.

6. WhatsApp communication

The platform lets employers communicate with candidates via WhatsApp, using the WhatsApp Business Platform (Cloud API), a service provided by Meta Platforms.

Employer-initiated messages are sent only to candidates who have previously agreed to be contacted (for example, when submitting an application) and use message templates pre-approved by WhatsApp.

To deliver these messages, the recipient's phone number and the message content are processed by Meta as the service provider, under the WhatsApp Business terms available at whatsapp.com/legal.

You can withdraw your consent at any time: reply “STOP” to any message or write to us at hello@partnerd.ro, and WhatsApp communication to you will cease.

7. Storage, security and sub-processors

Data is hosted on infrastructure located in the European Union. Access is role-restricted and data is encrypted in transit and at rest.

Employee and sub-processor access is limited to what is strictly necessary to provide the service. The full list of our sub-processors, the purpose of each one and the safeguards for any transfer outside the EU is published at ats.partnerd.ro/legal/subprocesatori and updated with 30 days' notice.

8. How long we keep data

Candidate data is kept for as long as there is an active recruitment process, and afterwards for the retention period set by the employer (12 months by default). Thirty days before that period ends you receive an email with two choices: keep your data for another period, or delete it immediately. If you do not answer, your data is deleted automatically when the period ends.

Erasure requests (“right to be forgotten”) are processed automatically within 48 hours of being registered. AI decision-log entries are anonymised when your data is deleted, so that no entry can be linked back to you.

9. Your rights

Under the GDPR you have the right of access, rectification, erasure, restriction, portability and objection, as well as the right to withdraw consent at any time. You also have the right not to be subject to a decision based solely on automated processing, and the right to obtain an explanation of any AI-assisted assessment of your application and to have it reviewed by a person. You also have the right to lodge a complaint with your data protection authority (in Romania, ANSPDCP).

10. Changes to this policy

Any change to this policy will be published on this page, with the date of the update. The current version applies to all data processed through the platform.
